With its new agent-based tool-use approach, Paledo Intelligence has reached a new level of quality: The AI can now independently process entire workflows and handle routine tasks that would otherwise require you to perform multiple steps manually.
Practical examples of standalone workflows:
- Smart work order confirmation: “Work order 12345 is complete; took 2.5 hours; 3 gaskets installed” – the AI records time, material usage, and status in a single step
- Automatic follow-up actions: After a quick fix, the AI identifies recurring patterns and automatically creates a follow-up order for a permanent repair
- Preventive follow-up inspections: For recurring issues, the AI automatically schedules follow-up inspections and reserves any materials that have already been used
- Bill of Materials and Inventory Management: Complex queries, availability checks, and reservations—all in natural language
AI thus becomes an independent assistant that not only provides advice but also handles routine tasks on its own—freeing up valuable time for you to focus on the decisions that really matter.
Root Cause Analysis: Systematic Root Cause Analysis Using AI
Paledo Root Cause Analysis (RCA) combines proven analytical methods such as the Ishikawa (fishbone) diagram and the 5 Whys with AI-powered automation. Paledo Intelligence independently searches through job history, previous RCAs, plant knowledge, and technical documentation to identify the root causes of malfunctions. What used to take days of manual analysis, Paledo Intelligence completes in just a few minutes.

The Paledo app gets a new look
Modern design is coming in April
Get ready for a comprehensive design update! In April, the Paledo app will feature a completely redesigned user interface that not only looks great but also makes your daily work noticeably more efficient.
Modern design for greater clarity
The new interface features a clear, structured layout with intuitive controls. Important information is immediately visible, and actions such as “Add attachment” and “Record working hours” are arranged as easily recognizable controls, significantly speeding up recurring tasks.
NEW in April: Video documentation right in the app
Along with the design update comes a long-awaited feature: video recording. When adding attachments, you’ll be able to not only take photos but also record videos directly with your camera—perfect for documenting complex claims or for better communication with colleagues and supervisors!

An optimized user experience for everyday mobile use
Make Smart Use of Pool Equipment: The Collective User for Your Mobile Maintenance
One tablet at the machine, three shifts, ten employees—who should log in? The answer: everyone together, but still in a way that’s easy to track.
The collective user is a special user type in the Paledo app for pooled devices, such as those used in shift work. Instead of individual logins, multiple employees use a shared pool account—perfect for fixed-installation tablets on production lines or smartphone pools used in field service.
The advantage: No time wasted on clocking in and out during shift changes, and no need for production staff to manage passwords
But what about traceability? This is where Paledo demonstrates its strength through intelligent hybrid approaches:
- PIN-based validation: Tasks or activities can be configured to require personalized confirmation. If necessary, the user can authenticate themselves using an assigned PIN. The collective user remains logged in, while the critical activity is recorded with personalized details.
- User-specific logging: The person performing relevant maintenance and safety checks is recorded digitally on an individual basis—even if the device is running under a group user account.
The result:
Maximum flexibility in shift operations with comprehensive documentation. Your audit trail remains complete, compliance requirements are met, and your teams work more efficiently.
These features are already available to iOS users in version 2.4; Android users will receive them in the next update.

New Paledo Customer: Melitta Europe – Coffee Division
In December 2024, we were pleased to welcome the Coffee Division of Melitta Europa GmbH & Co. KG as a new Paledo customer. Melitta, a long-established family-owned company based in Minden, looks back on a success story spanning over 115 years, which began in 1908 with Melitta Bentz’s invention of the coffee filter. The Coffee Division in Bremen is responsible for Melitta’s entire coffee business in Europe, Africa, and the Middle East (EMEA). The diverse product range includes filter coffee, whole beans for fully automatic coffee machines, specialty coffees from the Melitta Manufaktur, pad and capsule assortments for single-cup brewing, as well as instant coffees—offering products for every coffee-drinking occasion.
Starting point
As a major player in the coffee industry, the Coffee Division operates state-of-the-art production and logistics facilities that require seamless operations. A professional maintenance organization ensures that the highest quality standards are met and that equipment is operated optimally. To further increase efficiency and make the most of the opportunities offered by digitalization, Melitta Coffee has decided to implement an end-to-end digital solution.
Digitization with Paledo
With the Paledo project, the Coffee Division is firmly committed to the digital transformation of its technical processes. The planned solution involves the comprehensive digitization of maintenance workflows. This includes mapping the plant and organizational structure, as well as intelligent maintenance and fault management. Furthermore, the digital storage of plant documentation (photos, PDF files) enables fast, mobile, and location-independent access to this documentation. The seamless integration into the existing IT landscape creates a central platform that maps and optimizes all relevant technical maintenance processes.
Successful project launch
The official kick-off took place in early April 2025. The Paledo system went live successfully as early as October 2025. The project is scheduled for full completion in mid-2026. We are very much looking forward to continuing our collaboration with the Coffee Division of Melitta Europa GmbH & Co. KG and to successfully implementing the digital transformation of maintenance together!

Looking Back: Syntactix at maintenance Dortmund 2026
We’ve just wrapped up two days at maintenance Dortmund—and we’re returning with plenty of new insights. Our booth in Hall 4 was consistently busy, and our conversations with maintenance professionals, planners, and IT managers highlighted just how diverse the topics and challenges in the industry are.
AI as a topic of conversation
Ein zentrales Thema an unserem Stand war Paledo Intelligence: Wie lässt sich KI sinnvoll in den IH-Alltag integrieren – nicht als Selbstzweck, sondern dort, wo sie wirklich hilft? Neben der Frage, wie KI Informationen zugänglich macht, interessierte viele Besucher besonders die agentische Seite: also KI, die nicht nur antwortet, sondern auch Aktionen auslöst – etwa Aufträge anlegen oder Material reservieren.
On the second day of the trade show, we addressed these questions in our presentation: Will AI take over the maintenance technician’s job—or will it support them? The discussion that followed showed that there are many different perspectives on this in practice.
